Break time-to-hire into four stages and it becomes obvious where a small company loses weeks.

Where the days go

  • Writing and posting the role: 1–5 days
  • Collecting enough applicants: 5–10 days
  • Reviewing and scheduling first calls: 10–20 days
  • Final interviews and offer: 5–10 days

Stage three is the bottleneck

Reading applications and coordinating calendars is unskilled, high-volume work that only the owner has authority to do. It is also the stage most easily removed: if applicants arrive pre-screened on video, reviewing forty people takes an evening.

A realistic compressed timeline

  • Day 0: post the role from a short brief
  • Days 1–4: screened video applicants accumulate
  • Day 5: watch reels, invite three
  • Days 6–8: final calls and offer
